Officers — Complete User Guide
Who This Guide Is For
This guide is for officers who have an RCI officer account. It is written in plain language with clear, numbered steps so that it is easy to use for everyone. Take your time; you can use the Table of Contents above to jump to any section. If a step is unclear, ask your administrator or a colleague for help.
It covers everything you do in the RCI Officer Portal: logging in, your dashboard, profile, signals, ID card application, promotion request, IDA, and notifications.
Logging In
First-time login — What is my password?
When you log in for the first time, you need to know which password to use. It depends on how your account was set up:
- First-time login (your officer account was seeded into the system): Your initial password is MORNSIR! Write it exactly: capital M, O, R, N, S, I, R, then an exclamation mark. You must change this password after your first login (see “Changing your password” under Profile).
- If an administrator reset your password: Your new temporary password is also MORNSIR! Write it exactly: capital M, O, R, N, S, I, R, then an exclamation mark. You should receive an email with this password. You must change this password after your first login (see “Changing your password” under Profile).
- RCI number (e.g. RCI/438/11): MORNSIR! (capital letters and !). Change it after first login.
- Password reset by admin: MORNSIR! (capital letters and !). Change it after first login.
How to Log In
Step 1. Open the RCI Login page (often labelled “Admin Office” or “Sign in”).
Step 2. Enter your RCI Number or Email Address in the first field. You can use either.
Step 3. Enter your Password and click Sign in. If your details are correct, you will be taken to your dashboard.
After You Log In
- You are usually taken to the Dashboard. This is your home page.
- Use the sidebar (the menu on the left) to go to: Dashboard, Signals, Profile, ID Card Application, Request A Promotion, or IDA.
- If you are using a default password (e.g. MORNSIR! or RCI plus digits) for the first time, the site will ask you to change your password before you can use the rest of the site. Go to Profile and use the Change Password section.
- If you have admin or manager roles, you will also see Administration items in the sidebar.
Forgot Password?
On the login page, click Forgot Password?. Enter the email address linked to your account. You will receive an email with a link to set a new password. Follow the instructions in that email. If you do not receive the email, check your spam folder or contact your administrator.
If an administrator resets your password for you: They will set it to the default MORNSIR! (capital M-O-R-N-S-I-R and an exclamation mark). You will get an email with this password. Use it to log in once, then change your password from Profile (see “Changing your password”) so that only you know it.
Dashboard
After logging in, the Dashboard is your home. It shows:
- Your officer card — Your photo, name, RCI number, rank, and quick links (Profile, ID Card, Promotion Request).
- Recent signals — A short list of active announcements or notices for officers. You can click through to read more or go to Signals for the full list.
- Unread signal count — If there are unread signals, a count may be shown; you can open Signals to read them.
- Link to Notifications — A way to open your full notifications list (you can also use the bell icon in the top bar).
Use the sidebar to go to any section: Dashboard, Signals, Profile, ID Card Application, Request A Promotion, or IDA.
Profile
Profile Page (Quick Edits)
Open Profile from the sidebar. On the Profile page you can:
- View your rank (rank is set through promotion or admin; you cannot change it here).
- Edit your email, phone, resident state, and office address in the Personal Information section, then click Save Changes.
- Upload or change your photo (see below).
- Open Edit Full Profile for more fields (see below).
- Use Change Password and Privacy & Data Consent (see below).
Photo and Personal Details
In the Photo section, use the upload control to choose an image file; it will be saved to your profile. Your phone should include the country code (e.g. +234 for Nigeria).
Edit Full Profile
For more detailed changes (name, date of birth, division, brigade, battalion, church, education, etc.), click Edit Full Profile. This opens the full profile edit form.
Edit access: If your organization requires it, you may need edit access before you can save. If you see that you do not have edit access:
- Go to Request Edit Access (from the sidebar or the link on the Profile page).
- Submit a request. An administrator will review it.
- When your request is approved, you can open Edit Full Profile again and save your changes.
Some changes may be saved as a profile update request for admin review. If your profile is flagged by an admin, editing may be disabled until the matter is resolved; you may be able to submit an appeal from the Profile page.
Changing Your Password
In the Change Password section:
- Enter your current password, then your new password and confirm it (at least 6 characters).
- Click Change Password.
If you were asked to change your default password after first login, complete this before using other features. You can change your password again at any time from Profile.
Privacy and Consent
In Privacy & Data Consent you can provide consent, update your preferences (data processing, storage, photo usage, communications), or withdraw consent. Withdrawing may limit some features.
Signals
Signals are announcements or notices sent to officers (or cadets). From the sidebar, open Signals to:
- View the list — You see active signals by default. You can switch to Archived to see older ones.
- Search — Use the search box to find signals by title or content.
- Read a signal — Click a signal to open it. You see the title, body, priority (High, Normal, Low), who ordered it, and start/expiry dates if set.
- Mark as read — When you open a signal, it is typically marked as read so your unread count stays accurate.
High-priority signals may be highlighted. Expired signals may be moved to Archived. Creating or editing signals is done by admins (Manage Signals under Administration).
ID Card Application
Open ID Card Application from the sidebar to apply for or manage your RCI ID card.
Applying for an ID Card
When you have no current application or your previous one was rejected or expired, you can submit a new application:
Step 1. Go to ID Card Application. If payment is required, you will see the amount (and possibly bank details) and a field for years (e.g. 1 year).
Step 2. Enter the payment amount and number of years, then upload proof of payment (e.g. bank transfer screenshot or receipt). The image must be clear and under 5MB (JPG, PNG, or GIF).
Step 3. Confirm and Submit. Your application will be marked as pending until an admin reviews it.
Status and What to Do
| Status | Meaning / What to do |
|---|---|
| None | No application yet. Use the form to apply (payment + proof). |
| Pending | Your application is with admin for review. Wait for approval or a message. |
| Approved | Your ID card is approved. You can print your card from the same page (use the Print button). Keep your printed card for use. |
| Rejected | Your application was not approved. You can reapply (submit a new application with correct payment and proof). |
| Flagged | Admin has flagged the application (e.g. issue with proof). You may be able to appeal or submit a new application; check the message on the page. |
| Expired | Your card has expired. Submit a new application to renew. |
Reapply or Appeal
Reapply: If your application was rejected, you can start a new application on the same page: enter payment details and upload new proof, then submit.
Appeal: If your application was flagged, you may see an option to Submit an appeal. Enter your reason and submit. An admin will review. You may also be asked to upload a new proof or correct details and reapply.
Request a Promotion
To request a promotion or rank upgrade, open Request A Promotion from the sidebar. Only users with an officer profile can submit.
- Profile summary — The page shows your name, RCI number, current rank, division, email, and phone. If configured, Accoutrement Costs and bank details may be shown for payment after approval.
- Seven justification questions — You must answer questions about achievements, leadership, training, disciplinary issues (if any), unit support, readiness for promotion, and goals. Most are required; one is optional but recommended.
- Confirmation — Tick “I CONFIRM THE ABOVE INFORMATION IS CORRECT” and click Submit Promotion Request.
After you submit: Your status will be Pending, then In progress when an admin is reviewing. You will get an in-app notification when the status changes. If Approved, the admin sets your new rank; you must click Update Profile Now and save your profile to mark the request as Completed. If Rejected, you will see any notes and can submit a new request later. For full details (statuses, admin actions, payment), see the Promotion Process — User Guide.
IDA (International Diplomatic Alliance)
If your account has access to IDA (officers, managers, admins, and super_admins with an officer profile can all apply), you will see an IDA section in the sidebar. The links shown (e.g. IDA Dashboard, Apply for IDA, View IDA Application, IDA Payment) depend on your application status.
- IDA Dashboard — Current application status, timeline, and shortcuts.
- Apply for IDA — When you have no application yet or your application can still be edited. Start or continue your IDA application (personal details, membership level, passport, employment, background questions, signature, optional family members). Save as draft; submit when ready.
- View IDA Application — After you have an application. Open your submitted or draft application (read-only after submit).
- IDA Payment — When payment is required (status "Waiting"). Submit payment proof; admins verify and update your status.
After submission, your application moves through statuses (e.g. Waiting, In Progress, Ready for HQ, Sent to HQ, Ready for Pickup). You can use Messages (from the IDA area when you have an application) to communicate with IDA staff. For full step-by-step instructions, required fields, payment, and statuses, see the IDA Module — User Guide.
Notifications
You receive in-app notifications for things like promotion status changes, ID card updates, IDA messages, and other alerts.
- Bell icon — In the top bar, the notification bell shows an unread count (if any). Click it to see recent notifications and a link to View all notifications.
- Notifications page — From the bell dropdown or a link on the dashboard, open the full Notifications page. You can filter by All, Unread, or Read; open a notification to mark it read; and use Mark all as read.
- Push notifications — If available, you may see an option to enable browser push notifications (e.g. in Profile or dashboard). This sends alerts even when the tab is in the background. You can disable them later from the same place.
Logging Out
At the bottom of the sidebar, click Logout to sign out securely. You will be returned to the login page. Use the same login steps to sign in again.
